account to be tailored to the pricing structure and unit (e.g. room) stock of the

Secure Administration Area
Your UltraBook account can be fully maintained, changed and bookings
administered using the secure administration area. This area is accessed by
a username and password that will be assigned to you for use with your
account. The admin area is web based and protected by 128bit encrypted

With an 'always-on' broadband connection your reservation staff can keep
the admin area open and input 'walk-up' bookings directly to the system
and they can see new Internet bookings as soon as they occur.

Intelligent Room Allocation
If your customer's first choice of room is not
available the system will search for alternatives according to your
specifications as to which rooms can be used when the availability of
others runs out. If the system cannot find alternatives itself it will
offer the customer a choice of rooms that are available for their
requested stay.
Automated Cancellation Option
You can elect to allow you customers to cancel their reservation online
without the need to contact you directly. This further automates your
system and removes an administration burden. The cancellation process is
fully secure and encoded.
Multi Currency Option
You can elect to allow reservations to be made in either GBP,USD or EUR.
The system can also be set to default to any of these currencies if you
are based in the US or EURO zone.
Booking Rules
You can set the rules for taking online booking to your own preferences.
Option include the maximum length of reservations, how far in advance
reservations can be taken, if bookings can be taken on the same day and
which room types can be used if others are fully booked.
Full 'Look and Feel' Customisation
The 'Look and Feel' of your account pages that your customers use can be
fully customised using the secure admin area. Page options that can be set
include page colours, text size and fonts and images can be uploaded can
used on your pages. The email sent to your customers from the system can
also be customised if you are use the HTML email option.
Automated Booking/Cancellation Alerts
You are alerted of new bookings and cancellations by default by email,
which includes all reservation details, and optionally by SMS to your
mobile phone.
Dynamic Unit (e.g. Room) Stock
UltraBook allows you to quickly and easily assign your stock of units
(e.g. rooms)
to the system. You can call your units whatever you wish, allocate the
maximum occupants each unit can accommodate and set prices accordingly.
Marketing Function
UltraBook allows the collection of customer details who have 'opted-in' to
receive marketing promotional material. This information can be downloaded
at anytime.
eDiary - Secure online booking diary
UltraBook provides a easy to use graphical diary system. Occupancy and
bookings can be reviewed quickly and easily. New bookings can be made via
this system by clicking on vacant units. Using this feature 'walk-up'
bookings can be quickly entered into the system and online availability
immediately updated. This feature can replace your paper base systems and
you can be secure in the knowledge that the data is backed up every hour
of the day.
Comprehensive Flexible Pricing
UltraBook allows you to apply a comprehensive pricing structure to your
units to reflect the many variations on price that are commonly applied (e.g.
occupancy pricing, seasonal variations, volume discounts, etc). You can
change these and add to them at any time using the secure admin area.
Reporting System
At any time you can run reports on the number of bookings and the value of
bookings made via your Ultrabook account by dates selected. The reports
are displayed using easy to understand graphs and tables of data. This
allows you to assess how productive your online booking system is. A
summary of monthly reservation data is also emailed to your automatically
at the end of each month.
Special Offers/Late Availability
UltraBook allows you to offer units at discount prices that are
independent of your existing standard pricing structure. These offers are
listed on a separate page and this feature is commonly used to offer
unsold rooms at late availability prices.
FaxBack Service
As an additional service UltraBook offers a FaxBack service. If you take
up this additional option you will receive by fax a copy of bookings as
soon as they occur. This option costs and additional GBP £0.10 per fax.
